Policies:

Rules On All Bookings:
We will hold a date for you for a maximum of seven calendar days without a deposit. Deposit of ½ of agreed amount and signed contract is required to secure date. This payment is non-refundable after 14 calendar days from signed contract. Balance must be paid in full 60 days before date.

Cancellation Policy:
If wedding or reception parties cancel this contract less than 90 days prior to date of scheduled event, client will be liable for the entire balance.

Payment Method:
We accept payment by check or cash.

Clean up fee:
$100 for 0-150 $200 for 150-250. This check is due with last payment of balance. This check will not be cashed, but held for 48 hours after event. The check will be returned to you if there is no extra clean up or damages.

Usage Period:
You may use the hall for up to eight (8) hours on the day of your event. Music must stop at 11:30 p.m., and the bar must also close at 11:30 p.m. The hall must be totally vacated by 12:00 a.m. Wedding rehearsals & photo shoots are included in price, but must be scheduled on a specific date & time to minimize conflicts with other events. (Extra time will be billed at $100 per hour)

Flip Charge:
A flip charge will be assessed if applicable. (i.e. if the barn is set for wedding ceremony, then flipped by Stone Oak Ranch for reception, a $150 charge will be assessed.)

Table Removal:
The venue comes equipped with 12 /60” tables & 5 serving tables. There will be a charge of $150.00 to remove tables from barn.

Rentals:
Items rented from Stone Oak Ranch will be set up & taken down by Stone Oak staff at no additional charge.

Minors:
Minors may attend your event. However, they must be fully supervised, and no running, horseplay or shouting is allowed. Minors are not allowed to consume any alcoholic beverages. Proper identification is required to confirm proof of legal age for the consumption of alcoholic beverages.

Personal Items:
Stone Oak Ranch cannot assume responsibility for any damage, loss or disappearance of any merchandise or personal items that are brought into our facility. Please make sure that valuables are properly attended to during your time on property.

Property Damage:
Stone Oak Ranch reserves the right to inspect and control all private functions. By signing the Hall Rental Booking Contract/Agreement, you so agree to pay for, or replace, any object of Stone Oak Ranch property that is destroyed, damaged, or stolen during your period of rental at Stone Oak Ranch. Such payment must be made within five (5) days following our notification to you. You may inspect the damage, if desired.

Alcohol Policy:
If alcohol is present there must be a 1 security guard per 100 people arranged through Stone Oak Ranch, NO EXCEPTIONS. No alcohol allowed in any areas except reception hall. An extra $100 charge will be added to final bill if alcohol is present and not approved by management.

No Illegal Gambling on Site.

Rehearsals:
Rehearsal times may be booked 60 days prior to event date. Your venue package includes a maximum of 2 hours and must be completed no later than 9 pm. Times exceeding this will be billed at $100/hour. Discounted packages for dinners available on pre-arranged dates, and can be booked 60 days in advance if no prior event is scheduled for that day.

Decorating:
You may come in to decorate on morning of event at 10:00 a.m. There can be no use of tape, nails or other fasteners on the walls. We ask that you take your decorations with you at the end of the event. No open flames allowed in buildings. Clients must inform Stone Oak Ranch of any tents or structures that will be used for event.

Subcontractors:
Clients agree that in the event a Stone Oak Ranch subcontractor (i.e. musician, photographer…) does not perform his or her contractual duty through no fault of Stone Oak Ranch, the client will not hold Stone Oak Ranch liable. Subcontractors must also follow rules and conditions of Stone Oak Ranch.

Capacity:
Our hall seats 250 people under roof/ heated & cooled. Outside seating available for larger crowds and tents may be used to seat overflow if pre-arranged.

Unions:
Only celebrations of unions recognized by the State of Texas are permitted.

Smoking:
No smoking in any building. Please ask guests to deposit butts in receptacles provided.

Parking:
Parking and driving is restricted to drives and parking lots. Please do not drive on grass. Loading and unloading areas provided at reception hall and ceremony sites.

Pets:
No pets allowed on premises with the exception of service dogs.

Couples Exit:
Bubbles and Sparklers are permitted only on the pathway to parking lot. Sparklers must be deposited in buckets of water or sand near the path. Bubble containers must be disposed of in trash receptacle provided by Stone Oak Ranch. Bird seed and rice are not permitted.

Violation of the above rules may result in cancellation of event and forfeiture of all deposits.
